Organizing your Family Reunion Agenda

“Shoot!  We forgot to do that!”  This is something that you don’t want to be saying after the family reunion has ended.

As with any large gathering, an agenda can be very helpful at a family reunion; it is basically a schedule of events and helps to ensure that you do not miss a thing.

Missing something at a family reunion means wasted time, which can also mean wasted money, so be sure to avoid such a situation by creating a family reunion agenda!

Making a Family Reunion Agenda

Creating a family reunion agenda isn’t such a tough task, and although it takes some time to make the one that will be used, it will be well worth the time spent when nothing is forgotten.  Here’s some steps you can follow to make the perfect agenda:

1. Gather with all who are helping to plan; your committee.  Skype with those who are distant.
2. Have everyone make a list before the gathering of anything that will be done at the family reunion.  This will help to make sure nothing is missed.
3. Listen to committee members on proposed timeframes of events.
4. Form a single agenda together.
5. Review the agenda to make sure nothing was missed and that enough time is being allotted to each event.
6. Print a hard copy for each member.  Also, print copies for guests if you wish to hand it out upon entering the reunion, so everyone is in the know!

It’s that easy.  If you would like an example family reunion agenda, I am happy to provide one.  Keep in mind, though, that this is only an example, and every agenda for every family reunion will be different.  No two families are the same, and no two family reunions are the same!

3:00-4:00pm  Family reunion kickoff!

• Hand out packets
• Fill out notecard with contact info, three silly/unique facts about yourself, and one thing that has changed in the past year
• Index cards facts and changes are read aloud
• Hand out family reunion shirts

4:00-4:30pm  Social time

4:30-5:30pm BBQ chow down

6:00pm Live music, games, activities

8:00pm End of day

11:00am Group photos at the fountain at Nook Square (behind Shelly’s)

12:00-4:00pm  Zoo time!

• Be on time to get group rate! No later than 12:30pm.
• 2:00pm  Lunch with the Giraffes, reservation is for 2pm sharp.

As you just saw, every event is broken down into timeframes in which they will be accomplished.  This really helps to keep a flow in the schedule and avoids boredom.  Making an agenda will also help you to determine if more event need to be added, or if there is too many planned for one day.  Too many family reunion events?  Is that even a thing?
